What is an Outlook PST data file?
Microsoft Outlook uses the PST file format to store its data such as messages, contacts, appointments and meetings, tasks, notes, documents, journal entries, etc. All data can be located in folders of distinct types: mail, calendars, and others. Besides, PST files store important additional properties of Outlook items and folders. For example, rules and alerts, view settings, or search folders.
Therefore, when transferring data from PST to another location, it is necessary to properly process the information stored in them. By simply copying PST files, you can cause Outlook to malfunction.
What are HTML files?
HTML file contains the HyperText Markup Language, which is used to format the structure of a web page. It is mainly used by web browsers to display web pages. An HTML file is a plain text document containing special tags defining the layout of a web page like text, tables, hyperlinks, formatting, and many other elements.
You can view the HTML page by opening it in any web browser: Google Chrome, Mozilla Firefox, Microsoft Edge, Opera on any device, or Apple Safari if you use MacOS or iOS.
Why convert PST to HTML?
There are several reasons for PST2HTML email conversion:
- Compatibility. PST is the internal Microsoft Outlook format. To access your emails and attachment files in the PST file, you need to have Outlook installed. To access messages when no Outlook is installed, you need to convert them to another format. HTML is a convenient format for viewing, printing, searching and publishing, it retains the original formatting and images.
- Cross-platform. The Microsoft Office Outlook version that works with PST data files is available for Windows only. HTML viewers are available on all platforms, including smartphones and legacy devices. To share a message with another user, save it to an HTML file and the recipient is guaranteed to open and view it, regardless of what device or operating system they use.
- A separate file for each email. The PST data file stores all your email messages, so if it gets damaged, all your email will be lost at once. When converting from PST to HTML, messages are saved in separate files. If you lose one of them, the rest will remain untouched.
- Images and formatting. Images in messages are often links to external Internet resources. If the resource becomes unavailable, the images disappear from your emails. When converting from PST to HTML, all external images are downloaded to your disk. You can be sure the messages are saved in their original form.
