How to save an email in Outlook
This utility saves Outlook email messages in EML files. Save Outlook emails as .eml files, one file for each message. The utility saves messages from Outlook to a hard drive or network resource retaining the source folder structure. You can create another folder tree using macros.
Why export emails from Outlook in EML format
The EML is a universal file format commonly used to store email and move message files between popular email clients like Mozilla Thunderbird, Mac/Apple Mail, Windows Mail, etc. Saving Outlook messages to EML files allows you to share and export your email with minimal restrictions.
Transfer Outlook email in another email client
After exporting emails from Outlook to EML files, you can migrate your mail to most email clients such as Mozilla Thunderbird, Windows Mail, Outlook Express, Mac/Apple Mail, IncrediMail, and many others.
Some email programs work directly with EML, while others can import .eml files into their email database.
Copy Outlook emails and share them
Copy Outlook emails to the hard drive in EML format using the utility. After that, you can share your emails, even if the recipient uses another email client different from Outlook.
Backup Outlook emails
Storing email messages in separate files in a universal EML format is a convenient backup and archiving solution.
Save and export to EML files:
- emails in any date range, using the filter provided;
- incoming messages automatically through integration with Outlook rules;
- all messages in the selected folders at once or only marked emails;
- elected mail by schedule, using command line app;
- emails from multiple mailboxes at a time, using scripts;
- messages from Exchange Server Public Folders, Outlook Search Folders, and Outlook Shared Folders.
Save Outlook emails to .eml files instead of regular Outlook backup. Here you copy the emails to the hard drive preserving the folder structure. Moving the exported messages to another Outlook folder during export allows you to avoid duplicating files when you periodically run the same folders' utility.
Backup Microsoft Outlook in EML format to receive several benefits:
- Manage the message archive with standard Windows backup and archiving tools.
- Control access to emails with file system permissions.
- Store related emails along with documents and images.
- Restore archives if .pst files are damaged.
- Transfer Outlook email to a new computer or different email client.
- Save Outlook emails anywhere: from USB and CD/DVD drives to OneDrive, Google Drive, Dropbox, and other cloud storage.
Many companies have their own email storage policies, and they determine how much and how long data is stored in users' mailboxes. If these limits are exceeded, you can no longer receive and send new messages. In several places, old mail is automatically deleted. Storing messages in PST files can also be prohibited. To avoid losing your business correspondence and work as usual, save important emails to separate .eml files.
Backing up your business mail in .eml files allows you to export them to the personal account in another email client.
Perform bulk export of Outlook email to EML files
The command-line app provided by the Professional Edition of the product allows you to save Outlook messages from PST file lists, your mailboxes, or other users' mailboxes. It also provides the opportunity to export Exchange Server Public Folders. Use command line options:
- in scripts of scheduled mail export,
- for email migration and archiving,
- when integrating with other applications and web services.
You can use the command line in the Windows console, regular batch files, and in PowerShell. It can also be used in other scripts and third-party applications to perform complex tasks related to Outlook and Exchange Server mail processing.
Keep your mail archives organized
Save received and sent messages together or separately. Set up one folder for saving sent messages and another one for received emails, or use EML file naming templates. For example, save received messages to folders named as the sender's address, and save sent emails to folders named the recipient's address.
Many users organize their files in folders related to projects. The project folder stores information such as Word documents, Excel reports, PowerPoint presentations, images, photos, and other files. However, to see the email associated with this project, you need to run to your mailbox and look for the messages you need. Often, the project takes a long time, months, or years, and the messages you want may be hard to find or even deleted. By storing your emails along with the other files related to your projects, you'll always find them in the right place.
Flexible naming of files and folders
When launching the utility, you need to specify a folder for .eml files on your disk or in a shared network folder. Exported messages are saved in this folder. Additionally, you can create a template for naming folders and .eml files. Use the Outlook email fields to specify such a template:
- subject,
- sender or recipient name,
- email domain,
- sent / received dates,
- current date,
- Windows environment variables and many other values.
Use regular expressions to set only required parts of the subject, email body, or any other message field in the names of the target folders and files you want to save.
Additional columns in Windows Explorer
To view additional fields of saved EML files in Windows Explorer, select the columns you want to display in selected folder. Do to this, right-click on any column and select More....
The program saves the values of such fields as Subject, Company, Categories, Sender and Recipients names, Sender and Recipient Addresses, Sent and Received Dates, Attachments. Also, there are such standard fields as File Name, File Type, Owner, Dates, Size, Path.
